Paycheck Nanny Privacy Policy

This privacy policy governs your use of the software application Paycheck Nanny ("Application") for mobile devices that was created by RESTRUCTURED Design LLC ("we," "us," or "our"). The Application is an affordable guided solution to paying your nanny legally.

We take the privacy of your personal and financial information seriously. This policy explains what data we collect, how we use it, where it is stored, and what rights you have regarding your data.


1. Information We Collect

1.1 Information You Provide

When you create an account and use the Application, you may provide the following categories of information:

Account Information:
• Email address
• Display name
• Authentication credentials (email/password, or third-party sign-in via Google or Apple)

Employer Information:
• Name and physical address (street, city, state, zip code)
• Employer Identification Number (EIN)

Employee/Nanny Information:
• Name, email address, and physical address
• Hourly pay rate and salary information
• Work schedule details (pay period, workweek start day, overtime and break settings)

Financial and Tax Information:
• Federal tax withholding elections (filing status, allowances, deductions, dependents, other income)
• State and local tax withholding settings
• FICA (Social Security and Medicare) withholding options
• Health insurance and retirement contribution amounts
• Additional custom withholdings (state disability, family leave, commuter benefits, etc.)

Payroll Records:
• Time card entries (work hours, start/end times, break durations)
• Pay stubs (gross pay, net pay, deductions, year-to-date totals)
• Extra payments (bonuses, reimbursements, mileage, PTO adjustments)
• Notes associated with employees

1.2 Automatically Collected Information

The Application may automatically collect certain information, including:

• Device type, operating system, and unique device identifiers
• IP address
• Mobile browser type
• App usage events and interactions (via Firebase Analytics)
• Push notification tokens (via Firebase Cloud Messaging)

1.3 Information We Do NOT Collect

Location data: The Application does not collect precise or approximate location information from your device.
Photos, camera, or media: The Application does not access your camera, photo library, or media files.
Contacts: The Application does not access your device contacts.
Social Security Numbers: The Application does not collect or store Social Security Numbers.
Advertising ID: The Application does not collect or use your device's advertising identifier.


2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Application's payroll calculation features
• Authenticate your identity and manage your account
• Sync your data across multiple devices when you are signed in
• Generate pay stubs, tax calculations, and payroll reports
• Send push notifications related to your account or payroll activity
• Improve the Application through aggregated, anonymized usage analytics
• Provide customer support
• Contact you with important information, required notices, and occasional marketing promotions


3. Data Storage and Security

3.1 Local Storage

Your payroll data is stored locally on your device in an SQLite database. This data remains on your device and is protected by your device's operating system security features (encryption at rest, passcode/biometric lock).

3.2 Cloud Storage

If you create an account (sign in with email/password, Google, or Apple), your data is also synced to Google Firebase Cloud Firestore, a cloud database hosted by Google in the United States. This enables multi-device access and data backup. Cloud-synced data includes: employee records, withholdings, pay stubs, time card shifts, extra payments, notes, and app settings.

Data that is NOT synced to the cloud: scheduled shifts, active employee selection, and reminder settings.

3.3 Security Measures

We implement physical, electronic, and procedural safeguards to protect your information. These include:

• Encrypted data transmission (HTTPS/TLS) between the Application and cloud services
• Firebase Authentication with secure token management
• Firestore security rules that restrict data access to authenticated account owners
• Limited access to data by authorized employees and contractors on a need-to-know basis

Please be aware that no security system can prevent all potential security breaches. You are responsible for maintaining the security of your device and account credentials.


4. Third-Party Services

The Application uses the following third-party services, which may collect and process data as described in their own privacy policies:

Firebase Authentication (Google LLC) — account creation and sign-in. Firebase Privacy Policy

Firebase Analytics (Google LLC) — anonymized app usage analytics
Firebase Cloud Messaging (Google LLC) — push notification delivery

Only aggregated, anonymized data is transmitted to these external services. We do not sell, rent, or trade your personal information to any third party.


5. Third-Party Disclosure

We may disclose your information only in the following circumstances:

• As required by law, such as to comply with a subpoena or similar legal process;
• When we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
• With our trusted service providers who work on our behalf, do not have independent use of the information we disclose to them, and have agreed to adhere to the rules set forth in this privacy statement;
• If RESTRUCTURED Design LLC is involved in a merger, acquisition, or sale of all or a portion of its assets, you will be notified via email and/or a prominent notice on our website of any change in ownership or uses of this information, as well as any choices you may have regarding this information.


6. Account Deletion and Data Removal

You may delete your account at any time from within the Application (Settings > Delete Account). When you delete your account:

• All of your data stored in Firebase Cloud Firestore is permanently deleted, including employee records, pay stubs, time cards, withholdings, extra payments, notes, settings, and any linked nanny relationships
• All data stored locally on your device is permanently deleted
• Your Firebase Authentication account is permanently deleted
• This action is irreversible and cannot be undone

Alternatively, you can stop all data collection by uninstalling the Application using the standard uninstall process on your device or via the app marketplace.


7. Data Retention

We retain your account data for as long as your account is active. If you delete your account, all data is removed as described in Section 6 above. Automatically collected analytics information is retained for up to 24 months and thereafter may be stored only in aggregate.


8. Your Privacy Rights

8.1 All Users

All users of the Application have the right to:

• Access the personal data we hold about you (your data is visible within the Application)
• Delete your account and all associated data (see Section 6)
• Opt out of marketing communications by contacting us at privacy@paychecknanny.com

8.2 California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

Right to Know: You may request details about the categories and specific pieces of personal information we have collected about you.
Right to Delete: You may request that we delete your personal information. You can do this directly within the Application or by contacting us.
Right to Opt Out of Sale: We do not sell your personal information to third parties.
Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

To exercise these rights, contact us at privacy@paychecknanny.com or delete your account directly within the Application.


9. Children

The Application is not intended for use by children. We do not knowingly solicit data from or market to children under the age of 13. If we learn that we have collected personal information from a child under 13, we will delete that information promptly.


10. Changes to This Privacy Policy

This Privacy Policy may be updated from time to time. We will notify you of any material changes by posting the updated Privacy Policy on this page with a revised "Last Updated" date and, where appropriate, notifying you within the Application. Your continued use of the Application after changes are posted constitutes your acceptance of the updated policy.


11. Your Consent

By using the Application, you consent to our collection, use, and processing of your information as described in this Privacy Policy. "Processing" includes collecting, storing, deleting, using, combining, and disclosing information, all of which activities take place in the United States. If you reside outside the United States, your information will be transferred to, processed, and stored in the United States.
